Responsibilities
  • Gather and consolidate project information, records, and documentation relating to quality, schedule, cost, change orders, manpower, safety, and environmental management.
  • Maintain and administer an organised document control system to ensure accurate filing, tracking, and retrieval of project records.
  • Manage Integrated Management System (IMS) documentation and support internal and external audit activities.
  • Coordinate with project, safety, and environmental teams to monitor compliance with relevant standards and regulations.
  • Attend project meetings, prepare supporting materials, record meeting minutes, and distribute key action items to stakeholders.
  • Compile and prepare management reports covering project performance, costs, revenue, profitability, cash flow, progress, safety metrics, and operational updates.
  • Analyse project and financial data, identify trends, and support continuous improvement initiatives through dashboards and reporting tools.
  • Facilitate effective communication between management, project teams, and cross-functional stakeholders to ensure timely information sharing.
  • Utilize Microsoft Office applications and reporting tools to present project information and insights effectively.
Requirements
  
[Must]
  • Bachelor’s Degree in Management, Hospitality, Engineering, Business, or a related discipline.
  • Experience in project control, administration, document control, or a related function.
  • Proficiency in Microsoft Excel, Word, and PowerPoint.
  • Basic knowledge of Microsoft Power BI, Power Apps, and Power Automate.
  • Proficiency in Japanese language for reviewing project documents and correspondence in Japanese, as well as preparing meeting minutes and reports for Japanese-speaking stakeholders.
[Better to Have]
  • Experience in document management, reporting, data consolidation, and administrative coordination.
  • Basic knowledge of accounting principles, project cost control, budgeting, and financial reporting.
  • Basic knowledge of labour and corporate law.
  • Familiarity with construction project management principles.
  • Basic data analysis and reporting skills.
  • Familiarity with construction industry terminology and processes.
