Guest Relation Officer

Responsibilities:
Reporting to the Sales & Gallery Support Manager, the incumbent will work at the Sales Gallery and receive guests arriving to attend the sales preview. He/She will also be responsible for guest check-in, customer service, guest confirmation, gift distribution, reporting, ensuring that effective costs measures are maintained as well as administrative duties.
- Foster positive working relationships between the Sales Gallery and all other departments, ensuring clear and effective communication at all times.
- Maintain a professional appearance and uphold high standards of demeanor.
- Lead by example, demonstrating high standards of professionalism and leadership, motivating and inspiring the team while being actively involved in daily operations.
- Assist the Sales Manager with the smooth operation of the Sales Gallery, including the preparation of reports.
- Address and manage guest concerns or complaints promptly and in collaboration with relevant departments, such as Marketing and Customer Delivery.
- Ensure guests are greeted and registered efficiently, and that all gallery administrative support associates provide exceptional service during interactions with tour guests.
- Regularly audit cash operation accounts and promptly report any discrepancies to the Finance department and Sales Manager.
- Ensure that the Sales Gallery’s facilities, property, and assets are maintained to a high standard at all times.
- Manage inventory, including ordering and invoicing of items for the gallery.
- Complete required reports for sales and encore operations.
- Perform any additional tasks as assigned by the Sales & Gallery Support Manager, Assistant Gallery Manager, or Sales Manager.
- Prepare and deliver welcome letters for Preview Packages to overseas guests at hotels (when travel resumes).
- Participate in monthly audits with the Finance team.
- Handle gallery administration tasks on an ad-hoc basis as needed.
Requirements:
- Min 1-2 years’ experience in customer service/reception
- Proficiency in Mandarin or Bahasa Indonesia to liaise with Mandarin/Bahasa Indonesia-speaking clients
- Proficient in MS office applications & Good Computer proficiency
- Time Management & Multi-Tasking abilities
